Sending Newsletters to your Teams

Overview

The Rocky.ai White Label Newsletter feature allows admins and coaches to send customized messages to users through email and the app's home screen. The newsletters are fully configurable, allowing for flexible scheduling, content design, and targeted audience selection.

Key Features

1. Email Composition

Email Subject Line: Define a clear and engaging subject line for the newsletter.
Preview Text: Write a short summary that appears in the email preview.
Newsletter Content: Fully customizable HTML-based content that is integrated into the email framework, allowing for creative and branded designs.

2. Scheduling Options

Immediate Dispatch: Send the newsletter within 15 minutes of scheduling.
Scheduled Dispatch: Choose a specific date and time for the newsletter to be sent.
Distributed Sending: Emails are sent in distributed batches over a period of minutes to avoid server overload and improve deliverability.

3. Audience Selection

Admin Privileges: Admins can send messages to all members associated with a specific brand code.
Coach Privileges: Coaches can select up to 10 teams they own to send the newsletter messages to.

4. Editing and Storage

Modifications Before Sending: Newsletters can be edited before their scheduled dispatch.
Storage: Sent newsletters are stored for future reference and can be accessed for review.
App Integration: The newsletter message also appears on the app’s home screen, ensuring users see the update even if they miss the email.

How to Use

Navigate to the Newsletter section in the Coach-Panel dashboard.
Define the Subject Line and Preview Text.
Design the HTML-based newsletter content.
Choose whether to send immediately or schedule for a later date.
Select the target audience (brand members for admins, up to 10 teams for coaches).
Review and modify the newsletter before sending if necessary.
Confirm and send the newsletter, which will then be distributed in batches.

Branding and Headers

Sender Brand: The email branding, including headers, will change based on the selected Brand-code ,
or the individuals user settings if no brand-code is selected.
If you choose a program that you have ownership of, it will be used for the email branding.
Selected Teams: Choose up to 10 teams (All teams that inherit from the selected brand will be included anyway)

Save & Test - Save & Send

Once saved you can find your newsletters in a list and can later modify them.

Save & Test: will send a test newsletter to your own email address.

Save & Send: will send the final newsletter to all the team and brand users.

Additional Notes

Not all recipients receive the email at the same time due to distributed batch sending.
Users will also see the newsletter in their app home screen.
Ensure proper branding and formatting when designing the email to maintain consistency.

This feature helps keep users engaged with relevant updates while allowing admins and coaches full control over the messaging process.
